Job Titles Supervised: Volunteers
Supervisory responsibilities include assigning, scheduling, monitoring, and controlling work of volunteers and/or contract workers, and training volunteers when necessary.
Position Purpose:  Provide administrative support to the staff, leaders, members, and visitors of New Hope Presbyterian Church.
Essential Roles:
  • Greet all people, especially visitors, with a warm, friendly welcome and provide assistance
  • General office administrative duties, mail distribution, and office supply procurement.
  • Answer phones, directing calls to staff, and assisting the caller.
  • Track events and announcements from staff and ministry leaders and publicize.
  • Administrator for phone system, copier/printers, office software applications, and other office equipment.
  • Maintain Church Database.
  • Maintain Church website and app.
  • Program and update Digital Signs.
  • Liaison for New Hope – direct contact person for those seeking help, all outside groups, and the New Hope family. 
Basic Duties:
  • Create staff meeting agenda, track staff office hours and vacation requests.
  • Maintain Church Calendar and Post Weekly Calendar of Events.
  • Create and publish the weekly Midweek Memo email to the congregation, and other communications as needed.
  • Publish weekly prayer list from the Deacons and email to the congregation.
  • Create the weekly worship outline, slide show, and announcement slides.
  • Coordinate with Deacons regarding Baptisms and Funeral/Memorial Services.
  • Assist Pastors with projects, research, communication, and events, such as but not limited to revising policies & procedures, updating forms and rental fees, and grant applications.
  • Assist Church Staff and Preschool Staff with various tasks, such as copying, supplies, mailings, and communication.
  • Assist New Hope Leaders (Deacons, Elders, and Committee chairs) with various tasks.
  • Order office supplies and ensure work room is stocked with internal forms and supplies.
  • Create and maintain the weekly schedule for the security system. Distribute and maintain key and fob distribution for those needing access to New Hope.
  • Coordinate and schedule requests for use of New Hope facilities, process agreements and secure payment when necessary, and ensure safe access to New Hope’s facilities for all requests received from all outside groups and from within the New Hope family. 
  • Supervise office volunteers.
  • Attend weekly staff meeting.
  • Perform other administrative duties as needed.**

Education:
  • Minimum High School Diploma or Equivalent.
Qualifications:
  • Proficiency with Office 365.
  • Experience with software database programs.
  • Experience with digital mail and marketing platforms.
  • Basic web management skills.
  • Proficient writing and communication skills.
  • Strong organizational skills and the ability to multi-task.    
Compensation:
This is a part-time hourly position for 32 hours per week. Additional hours may be agreed upon by employee and supervisor. Compensation for this position is $25.00 per hour.  
Office Schedule:
Monday through Thursday 8:30 a.m. – 4:00 p.m. Lunch break 30 minutes. Fridays 9:00 a.m. – 12:00 p.m.
